Staff shirts work when a guest who needs help can pick out a staff member across a crowd, often from behind. Three choices decide whether yours do. The first is a shirt color nobody else at the event is wearing. The second is a short role word printed large on the back, and the third is enough shirts in the right sizes for every shift.

Races, festivals, conferences, school staff, and retail pop-ups each lean a little differently, and each gets a shirt pick below.

Preprinted STAFF Shirts or Custom Ones?

A preprinted staff shirt is a stock tee with STAFF, SECURITY, or VOLUNTEER already printed on it, sold in a short list of colors. When the crew needs only that word and the shirts are needed this week, a preprinted shirt is usually the cheaper and faster choice. We don't sell them, because every shirt we make carries your own design.

A custom staff shirt earns its place when the shirt has more jobs to do. It can carry your event or company logo, your own role words, and a color picked against the event's other shirts. You also choose the shirt itself, from performance fabric for a hot day to women's cuts and sizes up to 6XL.

In our Design Studio, you add your logo to the front and your role word to the back. Both show on the shirt before you order, with no setup fee. Browse custom t-shirts to start with a shirt in your staff color.

What Color Should Staff Shirts Be?

The best color for event staff shirts is a bright one that no guest, participant, or giveaway shirt at the event uses. One commenter on Reddit's event production forum asked two questions: should attendees approach them, or should they blend in? For staff that attendees should approach, the answer was "something that stands out." For crew who should blend in, it was "Show blacks and a simple logo," meaning plain black clothing, which suits stagehands.

Pick a Color No Guest Is Wearing

Check the participant shirt, the giveaway shirt, and the event's own brand color before you choose. If runners get a blue race shirt, blue is off the list for volunteers. One installation crew wears black and hi-vis pink. "It's a rare sight to see someone in hi vis pink so spotting our crew is pretty easy during installations," one of its members wrote.

Give Each Role Its Own Color

Larger events add a second color for leads, and sometimes a third for a department. Another commenter in the same thread said "each department has a set color," with management in a different color again. The City of Seattle's special event safety plan template asks large events how security staff at each level are identified. Its own example is "yellow shirts for volunteers, red shirts for managers."

Outdoors, Go Light and Bright

For a summer race or festival, a light, bright color stands out and stays cooler at the same time. NIOSH's heat-stress fact sheet says to "wear light-colored, loose-fitting, breathable clothing such as cotton" and to avoid synthetics that don't breathe. The polyester tees in the table below are sold as moisture wicking, but a crew that runs hot in polyester can switch to cotton. On the Gildan 5000 and 2000, Daisy (a bright yellow) is all cotton, while their safety and neon colors are 50/50 blends.

Staff T-Shirt Design: What to Print, Front and Back

Print a short role word large across the upper back, and put your logo small on the chest. Guests often see staff from behind, in a crowd or along a course, so the back carries the word. On most adult tees we print up to 13 x 5 inches across the upper back, starting about 3 inches below the collar seam. A full back print runs up to 13 x 17 inches, and a chest logo up to 4 x 4.

Keep the Word Short

Shorter words print taller, and taller letters read from farther away. The federal road-sign manual plans on 30 feet of reading distance for each inch of capital-letter height (FHWA MUTCD, Section 2A.08). By that rule, 3-inch capitals read from about 90 feet. A road sign is flat and built for contrast, while a shirt wrinkles and moves, so expect less.

Width is usually the limit. In one font across 13 inches, STAFF prints close to twice as tall as VOLUNTEER, since it has five letters instead of nine. That makes CREW, STAFF, or INFO a better back word than EVENT STAFF. Print it in a bold block letter, dark on a bright shirt and white on a dark one.

Plan for Jackets and Vests

The SLC Marathon's volunteer director pairs the shirt with a credential, because "you might be wearing a jacket or something for the weather." For a cold morning, print the same role word on a hoodie, whose upper back takes up to 14 x 5 inches.

A safety vest hides the shirt the same way. The Eugene Marathon asks course marshals to wear the volunteer shirt "so you are easily recognizable to racers and other volunteers." Marshals also borrow a safety vest for the shift. Give anyone in a jacket or vest a credential to wear over it.

Which Shirt Works for Which Event

Match the staff shirt to the weather and the work. A wicking polyester tee suits a summer race, a cotton tee suits a festival, school, or pop-up, and a hoodie covers a cold morning. The facts below come from each maker's spec sheet, and the colors from our product pages as of October 2026.

Event Shirt What the spec sheet says Bright colors we carry
Summer race or fun run Port & Co Performance T-Shirt 3.8 oz 100% polyester, moisture wicking, UPF 50 sun rating, XS to 4XL Neon Yellow, Neon Green, Neon Orange, Neon Pink, Neon Blue
All-day sun, heavy sweat A4 Cooling Performance T-Shirt 4 oz recycled polyester, moisture wicking, stain release, UPF 44+ sun rating, XS to 4XL Safety Yellow, Safety Orange, Lime
Festival, community event, or retail pop-up Gildan 5000 5.3 oz; 100% cotton in most colors, 50/50 cotton and polyester in the safety and neon colors; classic fit, S to 5XL Safety Green, Safety Pink, Neon Green, Neon Blue, among 80 colors
Big crew, wide size range Sport-Tek PosiCharge Competitor T-Shirt 3.8 oz 100% polyester, moisture wicking, XS to 6XL Neon Yellow, Neon Orange, Neon Pink, Lime Shock
School staff Gildan 2000 and Gildan Women's Ultra Cotton 6 oz; 100% cotton in most colors (the unisex safety colors are 50/50 cotton and polyester); unisex S to 5XL, women's XS to 3XL Safety Green and Safety Pink in both cuts
Cold morning Gildan Heavy Blend Hoodie 18500 8 oz 50/50 cotton and polyester, double-lined hood, XS to 5XL Safety Green, Safety Orange (listed as S. Orange), Safety Pink

A conference with a business dress code is the main exception, where registration and information staff can wear a polo with a chest logo. Shop custom polo shirts for that crew, in a color the attendees are not wearing.

Gildan's spec sheets for the 5000, 2000, and 18500 state that their Safety Green meets the ANSI/ISEA 107 high-visibility color standard. That covers the color only; the shirts themselves are not rated safety garments. Our guide to custom work shirts explains when a crew needs one.

Staff Shirts vs Giveaway Shirts

A staff shirt is a work uniform for the day, and a giveaway or participant shirt is a keepsake. Races run them as two separate programs. At Vancouver's RUNVAN races, volunteers get a volunteer shirt at check-in. RUNVAN's volunteer training video describes the runner's shirt as "their event keepsake along with the finishers medal."

Staff shirt Giveaway or participant shirt
Who wears it Staff and volunteers, during the event Guests, runners, and attendees, mostly afterward
Color Reserved for staff Any color except the staff color
Back print One short role word, printed large Event art, a sponsor list, or nothing
Fabric Picked for the day's work and weather Picked for what people will wear again
How many One per person per day it can't be washed, plus spares Set by registrations or expected attendance

Enforce the color row first: if giveaway shirts share the staff color, every guest wearing one looks like someone who can help.

Trade show booths are a separate case, because booth staff often wear the same shirt they hand to the visitors they talk to. Our guide to trade show giveaways people keep covers that split.

How Many Staff Shirts to Order

Order one shirt per person for each day of the event the shirt can't be washed, plus a few spares in the middle sizes. A one-day race needs one shirt per volunteer. A three-day festival with no laundry needs three per person, or two and a wash plan.

Spares cover the sizes that change at the last minute, and late sign-ups. A race organizer on Reddit quoted what runners say at race-shirt pickup. "I know I ordered a Medium, but these look like they run small so I'm going to take a large instead."

Ask for each person's size and cut, women's or unisex, on the sign-up form. Keep the count by role, since each role may wear its own color. One volunteer scheduling tool demoed on Race Directors TV promises a report of "t-shirt size by job."

Put the spares in the first order, since a top-up order of three shirts later is priced as three shirts.

Staff Shirts for Teachers and School Staff

Staff shirts for a school need women's cuts in the order from the start. According to NCES, 77% of public school teachers were female in 2020-21. A unisex-only order hands most of a school's teachers what one runner on Reddit called "a giant, boxy men's shirt."

The Gildan Women's Ultra Cotton pairs with the unisex Gildan 2000, both 6 oz. Size for size, it keeps the chest width of the unisex shirt and runs 3 inches shorter at medium, with a narrow rib collar. For school colors, both cuts come in royal, navy, red, purple, and forest green. The women's tees we carry don't come in maroon, gold, or orange, so a school in those colors can ask us to source one.

At some schools, a school shirt is the ticket to jeans on Friday. At one with no dress code at all, staff get a new shirt each year. A teacher there said "it's one less thing to think about so 90% of us do it on any given week." Another teacher wears school shirts because they are "durable cotton I don't mind getting dirty/sweaty/covered in Expo marker."

Who designs the shirt matters too. One school's spirit shirt was made with an AI generator. An arts educator there, who objects to generative AI in schools, wrote that the thought of putting it on "makes my skin crawl." One reply resolved to ask "an art student to design something each year," and others said they prefer designs made by students.

Decide who pays before you order. One teacher on Reddit had received a free shirt at only one school, "and it was a size too small." At the others, shirts were "encouraged to purchase." If the school pays, collect each teacher's size and cut before ordering.

Ordering for a Small Crew or a Spread-Out Team

A new cafe owner on Reddit described the staff shirt order they wanted. It was for about 10 people, "2 shirts per," a design on the chest and the back, and a hope for "lower set up fees." We have no minimum and no setup fee, so twenty shirts printed front and back is an ordinary order. One design can span shirt styles, so the performance tees on the course and the cotton tees at registration count toward the same bulk price.

We email a design proof within 1 to 2 business days of your order, with unlimited revisions. Standard production is 2 to 3 weeks for printing and embroidery and 4 to 6 weeks for patches, counted from proof approval. Nothing is made until you approve the proof, so check the role word's spelling there. Rush is available on request; get in touch before you order.

We offer free U.S. shipping, and on request one order can ship to several addresses, such as brand ambassadors in different cities.

Frequently Asked Questions

Should staff shirts be printed or embroidered?

Print the back, and pick either method for the chest. A large role word across the upper back has to be printed. We print up to 13 x 5 inches there and embroider up to 4 x 4. A small chest logo works in thread or print, and thread is the usual choice on a polo.

Can different roles get different words on the back?

Yes, but each wording is its own design, so STAFF, LEAD, and MEDICAL shirts are each priced on their own count. To keep the whole order as one design, put the same print on every shirt and mark roles by shirt color. Ink color counts as part of the design, so a white-ink version for dark shirts prices separately. Black ink reads on every safety and neon color in the table above.

Is there a minimum order for staff shirts?

No, Griwolfe has no minimum on staff shirts, so you can order one or several hundred, with no setup fee and no artwork fee. The per-shirt price drops as more shirts share one design. To check color and fit first, order one decorated shirt, or ask us for an undecorated sample shirt for a small fee plus shipping. One-unit custom orders are not refundable.

Do staff shirts come in women's sizes?

Yes, on several styles. The Gildan Women's Ultra Cotton runs XS to 3XL in 6 oz cotton. Like its unisex partner, the Gildan 2000, it comes in Safety Green and Safety Pink. For a closer fit, the semi-fitted Gildan Women's Softstyle runs 1 inch narrower across the chest than the Ultra Cotton, size for size.

How far ahead should I order event staff shirts?

Plan on about five weeks for printed or embroidered shirts. The design proof arrives within 1 to 2 business days, standard production takes 2 to 3 weeks after you approve it, and ground shipping follows. If the date is closer, rush is available on request when you contact us before ordering.

Before You Order Staff Shirts

Before you open the Design Studio, gather three things. You need the colors of every other shirt at the event, your list of roles, and each person's size and cut. Pick the color for the role with the most people first, since guests will see it most. Then give leads a color that looks clearly different from it.

With those in hand, a design takes a few minutes to build. Shop custom t-shirts to start your staff shirts, with no minimum and bulk pricing as the count grows.
